Oriola delivers fast, predictable and high quality onboarding of Medical Information

In today’s life sciences landscape, Medical Information (MI) services need to be up and running quickly. At the same time, quality, compliance and patient safety can never be negotiable. At Oriola, we know that onboarding sets the foundation for the entire collaboration. That is why our Medical Information onboarding model is designed to combine speed with structure, ensuring a predictable go-live and stable operations from day one, supporting both Nordic and EU launches.

A structured onboarding model from contract to go live

From day one, a dedicated Business Support lead takes ownership of the onboarding process. Together with the client, we establish a clear Service Description that defines scope, workflows, responsibilities, governance and KPIs. This shared understanding ensures there are no surprises when operations begin.

During onboarding we ensure that:

  • A dedicated MI service team is assigned
  • A Single Point of Contact (SPOC) is appointed and remains in place throughout the collaboration
  • Regular onboarding meetings are held, with clear agendas and follow-ups
  • Timelines, dependencies and technical prerequisites are aligned

The result is a controlled, transparent setup that allows the service to go live as planned.

“Our role during onboarding is to make sure that nothing falls between the cracks. We lead the process, coordinate all stakeholders and ensure that what’s agreed is exactly what’s delivered, compliantly, efficiently and on time,” says Niklas Lopes, Business Support, Oriola Medical Information.

Built for compliance, powered by experience

With more than ten years of experience in Medical Information and Pharmacovigilance, Oriola has refined its onboarding approach to meet regulatory requirements while remaining flexible to client needs.

Our MI teams consist of experienced healthcare professionals with knowledge of:

  • Different MI systems and operating models
  • Local and EU regulatory requirements
  • Multilingual service delivery across markets
  • Handling complex medical inquiries with consistency and accuracy

This experience allows us to anticipate challenges early and resolve them efficiently.

IT ready from day one

A successful MI onboarding is not complete without a secure and functional technical setup. As part of the onboarding, we manage and coordinate:

  • Phone systems and call flows
  • System access and integrations
  • Virtual Desktop Infrastructure (VDI), where applicable
  • Data flows and reporting readiness

All technical elements are aligned with the Service Description and validated before go live, ensuring no surprises once operations begin.

Go Live in just 10 days

In a recent onboarding, only ten working days passed between final contract and Service Description signature and the start of live Medical Information service.

Within this timeframe, the onboarding included:

  • Full IT setup
  • Targeted training for the MI team on client SOPs and products

Clear ownership, structured meetings and close collaboration made it possible to move quickly without compromising quality.

“This demonstrates the strength of our approach. The best is that if we find ways to improve we do," Niklas Lopes continues.

Collaboration is the real success factor

While structured processes are essential, people remain the key success factor. Close collaboration, open communication and experienced MI professionals enable a confident and predictable go-live.

When roles are clear and progress is transparent, onboarding becomes faster and easier for everyone involved.
